RepInsider is a product of YWM Consulting Inc., based in Illinois. We are committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights regarding your data.

By creating an account or using RepInsider, you agree to the practices described in this policy.

1. Information We Collect

Information you provide directly

• Account information: Your name, email address, and password when you create an account.
• Professional information: Your role, company, and territory as a medical device representative.
• Playbook content: Facility logistics, check-in procedures, surgeon preferences, SPD contacts, and other operational information you enter into the platform.
• Team information: Team name and member email addresses invited by a team manager.
• Communications: Messages or feedback you send us directly.

Information collected automatically

• Usage data: Pages viewed, features used, and actions taken within the platform.
• Device information: Browser type, operating system, and general device information.
• Log data: IP address, access times, and referring URLs.

Payment information

Payment processing is handled by Stripe. RepInsider does not store your credit card numbers or banking details. Stripe may collect and store payment information in accordance with their own privacy policy. We retain only your subscription status, plan tier, and billing history for account management purposes.

Information we do not collect

• We do not collect patient information or Protected Health Information (PHI).
• We do not collect precise GPS location data.
• We do not sell your data to advertisers or third parties.
• We do not use your data to train AI or machine learning models without your explicit consent.

2. How We Use Your Information

We use the information we collect to:

• Create and manage your account
• Provide access to RepInsider platform features
• Process payments and manage subscriptions
• Enable team collaboration features for Team and Enterprise accounts
• Send platform updates, feature announcements, and billing communications
• Improve the platform based on usage patterns
• Enforce our Terms of Service and prevent abuse
• Comply with legal obligations

3. How Your Playbook Content Is Used

Playbook content you enter — facility logistics, surgeon preferences, contact names, and operational notes — is private by default. It is accessible only to you and, where applicable, members of your team.

• Free accounts: Your playbook content is visible only to you, unless you generate a guest share link.
• Team accounts: Playbook content within a shared team workspace is visible to all members of that team and the team manager.
• Guest share links: When you generate a guest link, the content of that specific account card becomes visible to anyone with the link for its 6-hour validity window. You are responsible for managing who receives your guest links.

RepInsider does not share your playbook content with other users, teams, or third parties outside of these described scenarios.

4. Aggregated Data

RepInsider may generate aggregated, anonymized insights derived from platform usage data to improve our services. These insights will not identify individual users, facilities, or any personally identifiable information.

5. Information Sharing

We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:

• Service providers: We use Supabase for database hosting and authentication, and Stripe for payment processing. These providers process data on our behalf under confidentiality obligations.
• Legal requirements: We may disclose information if required by law, subpoena, or other legal process.
• Business transfers: If RepInsider is acquired or merged, your information may transfer to the new entity subject to the same privacy commitments.
• With your consent: We may share information in other ways if you give us explicit permission.

6. Data Retention

We retain your account information for as long as your account is active. If you cancel your subscription, your data is retained for 30 days to allow for reactivation, after which it may be deleted or anonymized.

For Team accounts: if a manager cancels a subscription, team members retain Free tier access. Shared team workspace content is retained for 30 days following cancellation before deletion.

You may request deletion of your personal account data at any time by contacting us.

7. Data Security

We take reasonable measures to protect your information, including encrypted data storage through Supabase and HTTPS encryption for all data in transit. No method of transmission over the internet is 100% secure. We encourage you to use a strong, unique password for your RepInsider account.

8. AI Features

RepInsider may offer AI-powered features as part of the platform. Your data is not used to train any AI or machine learning models without your explicit, opt-in consent. AI features process your data only to generate outputs within the platform for your use.

9. Your Rights

You have the right to:

• Access the personal information we hold about you
• Correct inaccurate information in your account
• Delete your account and associated personal data
• Export your playbook content upon request
• Opt out of non-essential communications

10. Children's Privacy

RepInsider is intended for professional use by adults in the medical device industry. We do not knowingly collect information from anyone under 18 years of age. If we become aware that a minor has created an account, we will delete it promptly.

11. Third-Party Links

RepInsider may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties and encourage you to review their privacy policies.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the platform. Your continued use of RepInsider after changes are posted constitutes your acceptance of the updated policy.
